Be clear about the purpose and invite only those people who are directly impacted

Include all key decision makers

Create an agenda with these things in mind:

What is the goal of the meeting?

What information do attendees need prior to the meeting?

The agenda may need to change based on feedback received (be an active listener!)

Provide the agenda and necessary information to attendees in advance

Moderate

Ensure the group stays on topic and keep track of time

Assign action items at the end of the meeting

Ensure everyone leaving the meeting knows what is expected of them


1 – Include everyone that is required, but when you can, remove anyone who isn’t key to the decision

2 – An agenda will help (but can’t always guarantee!) the meeting stays on track

  • Remember the agenda may need to change as the meeting goes – back to being an active listener. If you are listening to feedback, there are many times the agenda needs to change

3 – Give participants the agenda and information before hand so they can read and prepare

4 – May not always be possible, but try your best.

5 – To make sure the meetings objective’s are met, assign responsibilities

  • Also try to summarize what was discussed, ensuring everyone is on the same page when leaving
  • Keep track of what was discussed, decisions made and next steps agreed upon
